Privacy on UB1UB2 Jobs.

How we look after information on jobs.ub1ub2card.com. Southall Social Ltd (trading as UB1UB2) is the data controller, registered with the Information Commissioner’s Office (ICO) under number ZC167782. Contact us at hello@ub1ub2card.com.

Looking at jobs

You don’t need an account to search or apply. We don’t use advertising or tracking cookies. To show how busy the site is, each open page sends a small “still here” message about every 30 seconds with a random number made up for that page; it isn’t stored with anything about you and isn’t a cookie. We keep only totals: how many people are on the site now, and daily counts of visits, job views, applications started and sent, and adverts posted. For each job we count views, taps on its apply options, applications, saves and how many job alert emails included it, so the employer and we can see how it’s doing. To count you once a day per job (not every refresh), we keep a one-way hash of your IP address and browser, mixed with a random value that changes every day; at the end of the day the random value and the hashes are deleted, so they can’t be linked back to you. This uses no cookies, and visits from search engines, link previews and other bots aren’t counted. If you use “Nearest to me”, your location stays on your phone, or we look up the postcode you type to sort jobs; we don’t keep either.

Saved jobs and signing in

Saving a job needs you to sign in, with an emailed code (the same sign-in as the UB1UB2 Card app). We then keep your email, an account number, your saved jobs and the jobs you’ve applied for, so they appear on every device. The jobs you’ve tapped Apply on are also kept in your browser, and join your account when you sign in. Signing in uses two strictly necessary cookies: one keeps you signed in for 30 days, one holds a pending code for 15 minutes.

Applying with your profile

When you apply here, we pass your profile (name, email, phone if you give it, where you live, right to work, your experience, skills, languages and when you can work), your answers to the employer’s questions, your note and any CV file to that employer only, because you asked us to (that’s the lawful basis). The employer can save your profile as a PDF. We store applications securely and delete them 30 days after the advert closes. We email you a copy of what you sent, and show you in My jobs when the employer has opened it. We don’t use your profile for anything else. If you apply another way (email, phone, WhatsApp, their website or walking in), you deal with the employer directly and their privacy policy applies.

Your saved profile

The profile maker keeps your profile in your browser unless you sign in and save it to your account. A saved profile (and any CV file with it) is used only to fill in your applications, can be deleted any time from My profile, and is deleted automatically after 12 months without use. Downloading your profile as a PDF makes the file on your phone (or, without JavaScript, on our server for that moment only; nothing is kept).

Journey times

If you’ve shared your location or a postcode, a job’s page can show roughly how long it takes to get there by public transport. We turn your location into its postcode district (for example UB1) and ask Transport for London’s Journey Planner for a journey from the middle of that district, never from your exact location. We keep the answer for that district and job for up to two weeks, with nothing about you.

Job alerts

If you set up an alert, we keep your email and the search, and only start sending once you’ve confirmed by email. Every alert email has a one-click unsubscribe, which deletes the alert.

Employers

For adverts we keep the contact name, email and phone you give us (never shown publicly), the advert and what happened to it (payments, checks, approval). Payments are taken by Shopify on ub1ub2card.com; we see the order, not your card details. We keep advert records for a year after the advert ends, then delete the contact details. Your business name, logo and live jobs appear on your public employer page.

Who else sees it

Our service providers, only to run the site: Cloudflare (hosting and storage), Shopify (payments), Resend (emails), postcodes.io (postcode look-ups, no personal details sent), Transport for London (journey times, by postcode district only) and Anthropic (the employers’ “Help me write this”, with contact details removed). The employer sees what you send them. We never sell information.

Your rights

You can ask for a copy of your information, or for it to be corrected or deleted, by emailing hello@ub1ub2card.com. If you’re unhappy with how we’ve handled it, you can complain to the ICO at ico.org.uk.
